Troubleshooting Printer Problems

The following table identifies the various printer models and operating system combinations that have been certified to work properly with the Michigan QVF software. Depending upon the printer model you have, You should already have loaded onto your computer one of the following printer/printer driver combinations:

Isolate the problem to either a hardware or a software problem.

 

PROBLEM: Printer will not print.

1.   Does the printer work?

  • Verify that the printer is plugged in.
  • Verify that printer is turned on.
  • Verify that the printer cable is connected to the printer port on the computer and to the serial port on the printer.

 

2.   Does the Printer Status window display “Ready” or “Power Save On?”

  • Verify that the toner cartridge is loaded.
  • Verify that the paper is loaded.
  • Clear any jams.

 

3.   Is the printer driver set up in the computer?

  • Click on [Start] (in the lower left corner of your screen).
  • Select [Settings].
  • Select [Printers].
  • There should be an icon for one of the printer drivers listed above.
  • Right click on the Printer Driver icon. Verify that the only check mark is next to [Set as Default].
    • Note: If you do not have a printer driver icon for the printer driver applicable to your jurisdiction, you will have to add it. While you’re in the [Printers] screen, click on the [Add Printer] icon to load the printer driver from the CD or disks that came with the printer.

 

4.   Will the printer produce a test page?

  • Right click on the [Printer Driver] icon. Left click on [Properties].
  • On the Printer Properties screen, click on the [Print Test Page] button. A readable test page should print.

 

5.   Can you print from other Windows-based programs?

  • Go to [Start] (in the lower lest corner of your screen.
  • Select [Programs].
  • Select [Accessories] (at the top of the list).
  • Select [Word Pad] (at the bottom of the list).
  • A blank screen will come up. Type anything on the screen and try to print.
  • If you can print a test page and print from Word Pad, the problem is in the QVF software, Contact the Help Desk.

PROBLEM: Cannot print from Remote Client computers.

 

1.   Is sharing enabled on the Remote Multi Server?

  • Go to [Start] (lower left corner of your screen).
  • Select [Settings].
  • Select [Printers].
  • A hand should be holding the [Printer] icon. This indicates that sharing is enabled.

 

2.   If sharing is not enabled:

  • Right click on the printer driver icon applicable to your system.
  • Select [Properties].
  • Click on the [Sharing] tab.
  • Click on [Shared].
  • Make note of the shared name that should default into the “Shared Name” field.
  • Click on [OK].

 

3.   Is the proper path to the network printer entered into the Remote Client’s driver properties?

  • Go to [Start] (lower left corner of your screen).
  • Select [Settings].
  • Select [Printers].
  • Right click on the printer driver icon applicable to the Remote Client.
  • Select [Properties].
  • Click on the [Details] tab.
  • In the [Print to the follow port] field, a combination of the Remote Multi Server computer name and the printer name should appear. This is the path to the Remote Multi Server. If the path does not appear in the [Print to the following port] field, choose it from the drop down list.

 

4.   If the path to the Remote Multi Server printer does not appear in the drop down list:

  • Click on the [Add Port] button.
  • Click on [Network].
  • Click on the [Browse] button. Find the name of the network printer.
  • Click on [OK].

 

5.   Print a test page from the Remote Client computer:

  • Go to [Start] (lower left corner of your screen).
  • Select [Settings].
  • Select [Printers].
  • Right click on the printer driver icon applicable to your system.
  • Select [Properties].
  • Click on the [Print Test Page] button.
  • A readable test page should print.


PROBLEM: The printing runs off the edge of the paper.

 

1.   Are you using the latest version of software?

  • Various printing problems have been addressed by software updates. Verify the version number in the title bar.

 

2.   Are you using the proper size paper/stock?

  • Measure the size of the paper/stock being used. There have been several instances where vendors have supplied paper/stock that was a fraction of an inch too small.
  • Master Cars should be 5” x 8” from edge to edge or from edge to perforation.
  • ID cards should measure 6” from edge to perforation.

 

3.   Is the correct printer driver for your system selected on your computer?

  • Go to [Start] (lower left corner of your jurisdiction).
  • Select [Setting].
  • Select [Printers].
  • The driver that is checked [Set as Default] should correspond to your printer model number. If the number does not correspond, check the appropriate driver. If the correct printer driver is not listed, you will have to add it. While you’re in the [Printers] screen, click on the [Add Printer] icon to load the printer driver from the CD or disks that came with the printer.

 

4.   Contact the QVF Help Desk if the problem persists.
